A communication plan is a mutual agreement between collaborators and stakeholders that delineates information to be shared during project cycles. The critical information includes project standing updates, assignment-related matters, and meeting details that need to be included in the testament guide (Cicala, 2020).Usually, an organization’s stakeholders can be interior or exterior to the organization. They may consist of shareholders, employees, the government, clients, or suppliers.

Our healthcare organization faces myriad setbacks which we need to mitigate to ensure that patient care activities in the emergency procedures are without any hurdles and that the workflow becomes efficient and effective. We note that the panacea to these setbacks lies in technology, to be precise, eliminating emergency department nursing orders that do not belong to emergency nursing. The emergency nurse orders need software to address the setbacks effectively. It is worth noting that such software solutions need testing to eliminate possible software failures. The organization will ensure that such tests are conducted. Therefore, this communication document aims to inform and seek our stakeholders’ support and endorsement for the proposed informatics project solution.

The Benefit of the Software Project

The software initiation will improve performance in the emergency department, reduce operation costs and prevent patient health risks. The department will conduct functional and non-functional testing (Tsui, 2022). The testing will ascertain software requirements and functionality. Furthermore, the software will undergo security authentication to ensure that it is free of cyber-attacks (Tsui, 2022). The project cycle is scheduled to complete three months (90 days) to implement. The availability of unnecessary nurse orders at the emergency department has been identified to hinder the functions within the department. Therefore, the proposed software solution will aid in mitigating the problem and improve the operations in the emergency department. This communication to our stakeholders takes note of the critical support they have offered to our organization. We are open to your feedback and support within the proposed project schedule.

Effective communication ensures that stakeholders are aware of the project plan. A communication plan includes a defined process for delivering information, including what information should be disseminated, what channels will be used to deliver the information, and to which stakeholders.

Part I:

In 750-1,000 words, develop a project communication plan that details how your project will be communicated to the stakeholders (internal and external). Develop a draft communication document or presentation.

Meet with your mentor and any appropriate stakeholders to review your communication plan and communication document/presentation. Ensure that the communication plan is relevant to the proposed solution and appropriate for the organization.

Include the following:

Identify and describe the stakeholders who need to be included in the communication plan. Explain their role, why their involvement is important, and what information needs to be communicated to each stakeholder or stakeholder group.
Evaluate what tools or channels are available and how these will be used to communicate information to the different stakeholders.
Analyze the types of events that generate a need to communicate.
Propose who is responsible for delivering the communication and who is responsible for ensuring the information is received and comprehended. Describe how you will maintain open communication with stakeholders. Include requirements for frequency of communication, channels for feedback, expectations for stakeholders, etc.
Part II:

In addition to your 750-1,000-word paper, create a communication document or presentation that will be used during your stakeholder meeting and demonstrates mutual respect and shared values. The communication document or presentation will be electronically sent to your stakeholders.

Include the time it takes to complete these tasks as part of the practicum hours.
